Administrative Assistant

QUALIFICATIONS: At least one (1) year of office administrative experience with working knowledge of Microsoft Office Suite, Google drives, email and ability to type at least 30 wpm. Fleet operations experience preferred. A valid driver's license with a clean driving record for the previous 18 months. Experience driving buses and a current CDL is desirable but not required.

RESPONSIBILITIES:

  • Review repair work orders generated by the mechanics monthly, cross referencing the receipt log and inventory log for accuracy.
  • Maintain the Safety Data Sheets (SDS) for all liquid and aerosol products utilized by the department and keep books accessible to staff.
  • Keep a receipt log of auto parts purchased and complete a monthly and yearly inventory for the Transportation Department.
  • Produce GPS fuel reports for all Head Start buses, and submit with fuel receipts to the fiscal department for payment.
  • Maintain a spreadsheet of trained bus monitors and distribute regularly updated copies to drivers.
  • Maintain a spreadsheet and folders containing information required for all approved agency drivers.
  • Close and lock the building and outside lot and set the alarm at the end of each workday.
  • Verify that all buses and bus drivers have returned from their routes safely. Physically walk each bus to be sure no child is left on a bus.
  • Perform various clerical tasks such as maintaining accurate and organized DOT and vehicles files.
  • Perform dispatch functions, greet visitors to the Transportation office in a welcoming manner, and appropriately answer and direct phone calls and messages to the proper staff.

CLEARANCE/CREDENTIALING: All Agency mandated pre-employment screenings required. Valid driver's license.

52 weeks/year

Pay Rate: $15.75-$16.00/hour
